Finance support from people who know how your system is built

Most outsourced finance works from exports. Ours works inside the system you actually run on, which means the numbers and the ledger stay in agreement — and when something does not reconcile, the person looking at it can also see why the configuration is causing it.

  • Worked inside SAP B1 or Business Central
  • Reconciled to the ledger, not to a workbook
  • Alongside your statutory accountant

The situation

Why finance support usually disappoints

It works from exports

The bookkeeper never touches your ERP. Everything happens in a separate ledger and is reconciled back afterwards, which is where the discrepancies come from.

Nobody can fix the cause

A recurring difference is bridged by a manual reconciliation every month, because whoever produces the numbers cannot change the system producing them.

Reporting arrives too late to use

Management accounts land three weeks after month-end, by which point the decisions they were meant to inform have already been taken.

Volume has outgrown the team

Transaction numbers doubled, headcount did not, and the response has been longer hours rather than a look at where the manual work is.

Key-person risk

One person knows how the close works. Nothing is documented, and holidays are planned around the finance calendar.

Two suppliers, one problem

The ERP partner and the accountant each say the issue sits with the other, and you are the one arbitrating.

How we work

We work in your system, not alongside it

The distinction sounds small and changes everything: processing done in the ERP keeps one set of books, and the person doing it can see when the system is the cause.

Day-to-day processing happens inside SAP Business One or Business Central rather than in a separate ledger that has to be reconciled back. That means there is one set of books, your system is current rather than reconstructed at month-end, and your own team can see the same position we can at any point.

It also means the recurring problems get fixed. When a reconciliation keeps failing because of how a document type posts, or a report is wrong because of a control account, the same firm that spots it can change it. That is the practical difference between finance support and finance support from a team that also does the ERP work.

We work alongside your statutory accountant rather than replacing them. Our scope is bookkeeping, management reporting and finance process work. Statutory accounts, audit and tax advice stay with the firm you already use, and what they receive from us is a reconciled trial balance with supporting analysis rather than a set of exports to unpick.

The boundary, stated plainly

  • Bookkeeping and transaction processing
  • Management accounts and financial reporting
  • Finance process and ERP finance configuration
  • Not audit, and not statutory tax advice

How it works

How we take on a finance function

Review

We look at your current close, your ERP configuration and the state of the ledger before agreeing anything, so we know what we are taking on.

  • Close observed
  • Configuration reviewed
  • Backlog identified

Agree scope

What we do, what stays with you, what stays with your accountant, and the timetable each month. Written down.

  • Scope document
  • Monthly timetable
  • Named contacts

Transition

A parallel period where we run alongside your existing arrangement, so nothing depends on a single clean handover date.

  • Parallel running
  • Process documented
  • Access and controls set up

Run

Day-to-day processing and the monthly cycle to the agreed timetable, inside your system, reconciled as we go.

  • Processing in your ERP
  • Monthly pack to timetable
  • Reconciliations evidenced

Improve

Recurring manual work traced back to its cause and removed, so the arrangement gets cheaper to run rather than more entrenched.

  • Manual steps logged
  • Fixed at source
  • Reviewed periodically

What changes

What you should expect

One set of books

Processing inside your ERP rather than a parallel ledger, so there is nothing to reconcile between two systems.

A predictable timetable

An agreed date each month for the pack, and reconciliations evidenced rather than asserted.

Causes fixed, not bridged

Recurring differences traced to configuration and corrected, so the manual workaround stops being needed.

Cover and continuity

A documented process and more than one person who knows it, so finance does not stop for annual leave.

An easier year-end

Your statutory accountant receives a reconciled trial balance and schedules rather than a pile of exports.

Fit

Whether this is the right conversation

A good fit if

  • You run SAP Business One or Business Central and want finance support that works inside it
  • Transaction volume has grown faster than your finance team
  • Your management accounts arrive too late to be useful
  • The same reconciliation problems recur every month
  • You want fewer suppliers between the system and the numbers

Probably not us if

  • You need statutory audit — we are not an audit practice
  • You need formal tax planning or advice
  • You want processing done outside your ERP in a separate ledger

Common questions

Questions we are asked before a project starts

Are you a regulated accountancy practice?

Our services are bookkeeping, management reporting and finance process work alongside ERP consultancy. We are not an audit practice and we do not provide statutory tax advice — those stay with your existing accountant or auditor. If a piece of work would require a regulated engagement, we will tell you so and say who should do it.

Do we still need our accountant?

Yes, for statutory accounts, audit and tax. We work alongside them. What changes is what they receive: a reconciled trial balance out of a system that agrees with itself, rather than a set of exports and a workbook to reverse-engineer.

Do you work in our system or your own?

Yours. Processing happens inside SAP Business One or Business Central so there is one set of books and your team can see the same position we can at any time. Working in a separate ledger and reconciling back is where most of the discrepancies in outsourced finance come from.

Can you support a system we already have?

Yes, including systems we did not implement. We review the configuration and the ledger first so we understand what we are taking on, and we will be direct about anything that needs correcting before the arrangement starts.

How is it priced?

A monthly fee based on transaction volume and the agreed scope, set out in advance. Project work — process improvement, a reporting build, clearing a backlog — is quoted separately against a written scope so you can decide on it independently.
